Privacy notice
How Poseidon collects, uses, shares and retains personal information submitted through enquiries and commercial relationships.
Who is responsible
Poseidon Brokerage Services Pte. Ltd., UEN 202227284C, registered office 207A Thomson Road, Goldhill Shopping Centre, Singapore 307640, is responsible for the personal information described here and is the controller where that term applies. The Data Protection Officer can be contacted at chartering@poseidonbrokerage.com.
What we collect
- Enquiry details. Your name, business email, telephone number, company name, country of incorporation, role and the cargo and voyage information you submit.
- Introducer applications. Your name, contact details, company or trading name, markets you cover and the description of your relationships you provide.
- Screening results. Information obtained from sanctions lists, company registries and, where warranted, public sources, about a company and the people behind it.
- Correspondence. Emails and messages exchanged with us in the course of a transaction.
- Technical and security information. IP address, request time, requested page, browser information and similar server records generated when the site or a form is used.
The site does not use advertising or analytics cookies. Fonts are served from this domain rather than from a third-party network, so visiting a page does not disclose your visit to another company.
Why we use it
- To respond to your enquiry and provide brokerage and coordination services.
- To comply with applicable sanctions obligations and manage counterparty and transaction risk.
- To communicate with owners, carriers and providers to the extent needed to work your cargo.
- To keep records of transactions and of the checks we carried out.
- To secure the site, prevent misuse and investigate technical or security incidents.
Where the EU General Data Protection Regulation applies, we rely on the performance of a contract or steps taken at your request, on compliance with legal obligations that apply to the transaction and our records, and on our legitimate interests in operating and protecting the business. Where Singapore's Personal Data Protection Act applies, we rely on consent where required; its business-contact-information exclusion; and any applicable legal, business-improvement or legitimate-interest exception.
Who sees it
Vessel owners, operators, carriers, agents and logistics providers, to the extent needed to work your enquiry. Screening and registry providers used to run the checks. Our hosting, email, communications and secure messaging providers process information for us. Our professional advisers and authorities may receive information where disclosure is required or permitted by law. We do not sell personal information and do not share it for advertising.
Where it goes
Poseidon is a Singapore company operating from Hungary and works with counterparties worldwide, so information may be transferred outside your country. Where cross-border safeguards are required, we use contractual or other lawful measures designed to provide a standard of protection comparable to the applicable data-protection regime.
How long we keep it
Enquiries that do not become transactions are kept for up to two years so we can recognise a returning counterparty and maintain an appropriate screening record. Transaction, commission and accounting records are generally retained for at least five years after the relevant financial year, or longer where a contract, claim or applicable law requires it. Technical security records are ordinarily retained for a shorter period unless an incident requires investigation. Personal information is removed, anonymised or placed beyond use when it is no longer needed for a legal or business purpose.
Your rights
Depending on the law that applies, you may ask for access to the personal information we hold about you and information about its use or disclosure, ask us to correct it, withdraw consent, ask us to delete it, object to particular processing, or ask us to restrict processing while a question is resolved. Write to chartering@poseidonbrokerage.com and we will respond within the period required by the law applicable to your request.
Some information cannot be deleted on request because we are required to keep it, in particular screening and transaction records. Where that applies we will tell you which obligation prevents deletion.
Withdrawing consent does not affect processing already carried out and may mean we cannot continue an enquiry or commercial relationship. We will explain the likely consequence before acting on the withdrawal.
If you are in the EEA and are not satisfied with our response, you may complain to your national supervisory authority. In Singapore you may complain to the Personal Data Protection Commission.
Data security and incidents
We use organisational and technical safeguards appropriate to the nature of the information and the way it is processed. If a personal-data breach occurs, we assess it and notify affected individuals and the relevant authority where applicable law requires notification.
Changes
If this notice changes materially we will update the review date below and, where the change affects an ongoing relationship, tell you directly.
